Home/Terms of Service/Contact

This Privacy Policy explains how Shanghai Hanyi Electromechanical Limited, a switchgear overhaul and integrated systems company operating a long hall at Rm 05 25/F Wealth Coml Ctr, 42-56 Kwong Wa St, Mong Kok, Hong Kong - 999077, Hong Kong (HK), collects and handles personal data through this website and through the work performed in that hall. The site is maintained by the developer Hanyi Electromech for and on behalf of the Company. Where this policy refers to we or us, it refers to the Company as the party responsible for the data described below.

We keep this policy deliberately plain. It describes what we collect, why we collect it, how long we keep it, who may see it, and what a person can ask us to do about it. It applies to the website at nertelenergy.buzz and to enquiries, bookings and service records that reach us through the contact channels published on the site.

Scope of this policy

This policy covers the personal data we process when a visitor browses this website, when a client or supplier sends an enquiry, when an engineer is dispatched to a site, and when a job is recorded in the hall ledger or the test certificate desk. It also covers the small amount of data created when a person calls the published telephone number or writes to the published email address.

The policy does not cover data held by third parties whose own websites or services a visitor may reach through an external link. It does not cover the internal records of a client company, even where those records describe work that we performed. It does not cover anonymous engineering data such as a breaker serial number or a terminal reading, except where that data is attached to an identifiable person.

We are based in Hong Kong and the work described on this website is performed from the hall at Kwong Wa Street. This policy is written for visitors and clients wherever they are located, and it reflects the standards we apply to all personal data regardless of the jurisdiction from which a person contacts us.

Who we are

Shanghai Hanyi Electromechanical Limited is a company providing computer integrated systems design and switchgear overhaul services. Our registered and operating address is Rm 05 25/F Wealth Coml Ctr, 42-56 Kwong Wa St, Mong Kok, Hong Kong - 999077, Hong Kong (HK). Our published email address is info@nertelenergy.buzz and our published telephone number is +17319373354.

The Company is the controller of the personal data described in this policy. The developer Hanyi Electromech maintains the website on behalf of the Company and does not use visitor data for any purpose beyond operating and securing the site. No separate data protection officer has been appointed because the volume and sensitivity of the data we handle do not require one, but every enquiry about privacy is read and answered by a named member of the office team.

The hall operates across a number of functions, including the breaker bays, the coil rewind run, the test certificate desk, the thermal scan round, the spares counter and the emergency callout rota. Each of those functions may create a small record that includes a person name, and this policy applies to all of them evenly.

Personal data we collect

We collect only what a job or an enquiry actually needs. The categories below describe the types of personal data that may pass through our hands.

Contact details

A name, an email address, a telephone number and, where relevant, a job title and employer name. These details arrive when a person fills in the contact form, sends an email, calls the hall, or is named by a client as the site contact for a contracted board.

Enquiry content

The text of a message and any documents a person chooses to attach. A message about a tripping breaker may include the board name, the site address and the serial number of the unit. That information is part of the enquiry and is treated with the same care as the contact details.

Service records

Where a person is named as the site contact or the receiving engineer, the job record may contain that name beside the date of the visit, the tests performed and the parts supplied. Service records are primarily engineering documents, but they can include personal data and we treat them accordingly.

Technical data

The server that delivers this website may log the internet protocol address of a visitor, the browser type, the time of the request and the page requested. These logs are used to keep the site available and to detect abuse. We do not use them to build a profile of any individual visitor.

Sensitive data

We do not ask for health data, identity document numbers, payment card numbers or biometric data through this website. If such information arrives unrequested in a message, we delete it after the enquiry is handled, unless a legal obligation requires us to keep it.

How we collect personal data

Most personal data arrives directly from the person concerned. A visitor types into the contact form, or writes an email, or speaks on the telephone. In those cases the person knows exactly what has been shared and with whom.

Some data arrives from a client company rather than from the person named. When a building manager books a scan round and lists the on site engineer who will provide access, we receive that name second hand. We use it only to arrange the visit and we do not add it to any list for later use.

A small amount of technical data is generated automatically by the web server when a page is requested. That data is created by the act of browsing and is not supplied by the visitor in any active sense. We describe it in the technical data section and in the section on measurement so that a visitor is not surprised by its existence.

We do not buy contact lists, and we do not receive personal data from data brokers. If a person appears in our records, it is because they contacted us, because a client named them, or because they were involved in a job.

Why we use personal data

We use personal data for a short list of purposes, each tied to the work described on this website.

  • To reply to an enquiry and to answer a question about a breaker, a rewind, a scan or a certificate.
  • To arrange a site visit, a bay booking, a rewind slot or a callout under the rota.
  • To prepare a quotation and to invoice for work that has been performed.
  • To keep a service record that allows us to answer a future question about the same board or breaker.
  • To meet our own accounting, insurance and legal obligations.
  • To protect the website and the hall from fraud, abuse and unauthorised access.

We do not sell personal data. We do not rent it. We do not use the content of an enquiry to send unrelated advertising. If we ever wish to send a newsletter, we will ask for a separate and clearly marked consent, and a person may withdraw that consent at any time without affecting the service they receive.

Basis for processing

Where data protection law requires a lawful basis, we rely on the following grounds. First, we process data because it is necessary to take steps at the request of a person before entering a contract, and to perform a contract once it exists. An enquiry about a breaker bay and the subsequent booking fall into this category.

Second, we process data because we have a legitimate interest in running a safe and honest engineering business. Keeping service records, preventing fraud and securing the website are examples. We weigh that interest against the rights of the person concerned and we limit the processing to what the interest actually requires.

Third, we process data to comply with a legal obligation, such as a tax rule that requires us to keep an invoice, or an insurance requirement that obliges us to retain a test certificate. Fourth, where none of the above applies and we wish to use data for a new purpose, we ask for consent and we record it.

Service and equipment records

The hall keeps records that are unusual in their breadth because switchgear work depends on continuity. A breaker that was overhauled in one year may return five years later, and the earlier certificate desk entry tells the engineer what was done, what was replaced and what reading was recorded. Those records are engineering documents first.

Where a person is named in a service record, that name is present so that a future enquiry can be directed to the right person or so that a visit can be reconstructed accurately. A name in a service record is not used for marketing and is not cross referenced against any other list. If a person asks to be removed as the named contact on a past record, we will update the record where the change does not conflict with a legal or insurance retention duty.

Thermal scan rounds produce image sets that show a board, not a person. On the rare occasion that a person appears in the background of a scan image, we crop or discard the image rather than keep it. The value of the round lies in the terminal temperatures, not in the surroundings.

Cookies and local storage

This website is built to work without tracking cookies. It does not set advertising cookies, it does not set cross site cookies, and it does not load a third party tag that would create a profile of a visitor. The pages are served as static files and the small amount of interaction on the site, such as opening a question in the contact page, is handled in the browser without storing anything about the visitor.

If a future version of the site introduces a cookie for a clear functional purpose, such as remembering a form draft, we will describe it on this page before it is used and we will offer a way to decline it. A visitor who wishes to block all cookies can do so in the browser settings without losing access to the content of this site.

The server may use a short lived technical cookie to balance load or to protect a form from automated abuse. Such a cookie would contain no personal data beyond a random session marker and would expire when the browser is closed.

Measurement and site statistics

We look at aggregate traffic figures so that we know which pages are read and which are ignored. The figures we use are counts, not profiles. We are interested in whether a visitor found the services page, not in who the visitor was.

Where measurement tools are used, they are configured to avoid storing the full internet protocol address and to avoid combining the data of one site with the data of another. We do not enable advertising features, remarketing audiences or cross device matching. The result is a plain count of page views that helps us decide what to improve.

If a visitor prefers not to be counted at all, most browsers offer a do not track signal or an extension that blocks measurement scripts. We respect those signals where a tool allows it, and the site remains fully usable when they are active.

Sharing personal data

We share personal data only where there is a clear reason and only to the extent the reason requires. The categories of recipient are limited.

  • Our own office team, who need the data to answer an enquiry or run a job.
  • A hosting provider that stores the files making up this website, under a written agreement that limits its use of the data.
  • An accountant or auditor, where an invoice or a service record must be reviewed for a lawful purpose.
  • An insurer, where a claim or a policy obligation requires the relevant record.
  • A public authority, where a law or a valid legal order compels disclosure.

We do not share personal data with advertisers. We do not share it with a list broker. We do not place a client contact name in a public directory. Where a disclosure is legally compelled, we will, unless prohibited, tell the person concerned so that they can respond.

Suppliers and contractors

Some parts of a job involve a supplier or a contractor. A special coil may come from a winding shop, a replacement breaker from a distributor, a lifting inspection from a specialist. When we pass a contact name to such a party, we pass only the name and the details needed to complete that step, and we require the party to use the data for that step alone.

Contractors who work inside the hall are bound by the same confidentiality expectation as our own staff. They do not receive client lists, they do not receive scan image sets beyond the board they are working on, and they do not retain copies of certificates after the job is closed.

Where a supplier is based outside Hong Kong, the transfer is described in the international transfers section below. We choose suppliers who can meet a reasonable standard of security and we review that choice when a relationship is renewed.

International transfers

The hall is in Hong Kong and most of our records stay in Hong Kong. A website hosting provider may store files in another region, and an email provider may route a message through servers outside Hong Kong. Those transfers are necessary for the site and the mailbox to function.

Where personal data leaves Hong Kong, we take steps to ensure it remains protected. We prefer providers that offer a written data processing agreement, that encrypt data in transit, and that restrict access to the data to staff who need it. Where the law of a destination country offers a lower standard than Hong Kong law, we rely on contractual protections rather than on the local law alone.

A person who wishes to know which countries are involved for a particular enquiry may ask us and we will answer honestly. We will not claim that data never leaves Hong Kong if it does, and we will not overstate the protections in place.

How long we keep data

We keep personal data only for as long as a clear purpose requires. The periods below describe our normal practice.

  • An enquiry that does not lead to a job is kept for twelve months and then deleted.
  • A quotation that is not accepted is kept for twelve months so that a later enquiry can be answered consistently.
  • A service record and its certificate are kept for a longer period, normally at least seven years, because a board may be examined by an insurer or a surveyor long after the work.
  • Accounting records are kept for the period required by Hong Kong tax law.
  • Server logs are kept for a short rolling window and are then overwritten.

When a retention period ends, the data is deleted or anonymised. A service record may be reduced to an anonymous engineering summary, keeping the terminal readings and the breaker serial while removing the names of the people involved. That allows the hall to keep its engineering memory without keeping personal data longer than necessary.

How we protect data

We protect personal data with a combination of technical measures and ordinary discipline. The website is served over an encrypted connection. The mailbox is protected by a strong password and a second factor. The office computers that hold enquiry records are kept updated and are not shared with visitors.

Paper records, including the bound certificate desk logs and the intake tickets, are kept inside the hall and are not left where a visitor can read them. A client who visits to inspect a job sees the record for that job only. The drawer of prior records stays closed.

Access to digital records is limited to the people who need it. We do not give every member of staff access to every folder. If a breach occurs, we will contain it, assess whether personal data was affected, notify the affected people and the relevant authority where the law requires, and record what happened so that the same mistake is less likely to recur.

Your rights and choices

Subject to the law of the place where a person lives, a person may have the right to ask for a copy of the personal data we hold about them, to have inaccurate data corrected, to have data deleted where there is no continuing reason to keep it, to restrict how the data is used, and to object to a particular use.

A person may also ask for the data they provided to be supplied in a portable format, and may withdraw a consent they gave earlier. Withdrawing consent does not affect processing that happened before the withdrawal, and it does not affect processing that rests on a different lawful basis, such as a contract or a legal obligation.

We will not charge a fee for a routine request, and we will not refuse a request simply because it is inconvenient. We may ask for enough information to confirm identity, because we do not want to hand a person records to someone else. A request is normally answered within one month, and if a request is complex we will explain why more time is needed.

Making an access request

To make a request, write to info@nertelenergy.buzz with the subject line Data Request, or post a letter to Shanghai Hanyi Electromechanical Limited at Rm 05 25/F Wealth Coml Ctr, 42-56 Kwong Wa St, Mong Kok, Hong Kong - 999077, Hong Kong (HK). A telephone call to +17319373354 can start the process, but a written record helps us handle the request accurately.

Please describe the data you are asking about, for example an enquiry sent on a particular date, a job at a particular address, or a certificate issued for a particular breaker. The more precise the description, the faster we can find the record. If you are asking on behalf of someone else, we will ask for evidence that you are authorised to do so.

If you are not satisfied with our response, you may raise the matter with the privacy authority in your jurisdiction. We would rather resolve the issue directly first, so please tell us what is missing before you escalate, and we will try to correct it.

Marketing preferences

We do not currently send marketing email to website visitors. If we introduce a newsletter or a service reminder, it will be optional, clearly labelled, and separate from any enquiry a person has sent. Signing up will never be a condition of receiving a quotation or a service.

A person who has agreed to receive updates may stop them at any time by using the unsubscribe link in the message or by writing to info@nertelenergy.buzz. We will act on the request promptly and will keep only the minimum record needed to ensure the person is not contacted again by mistake.

We do not share contact details with a marketing partner and we do not add a client contact to a list because they were named on a job. Being the site contact for a board is not the same as agreeing to receive news, and we treat the two as different things.

Privacy for Children

This website describes industrial switchgear services and is intended for adults working in building management, facilities, engineering and related trades. It is not directed at children, and we do not knowingly collect personal data from anyone under the age of sixteen.

If a parent or guardian believes that a child has sent personal data to us through this site or by email, they should contact info@nertelenergy.buzz. We will delete the data promptly and confirm the deletion in writing unless a legal obligation prevents us from doing so.

We do not run competitions, games or interactive features aimed at children, and we do not use a child name or image in any promotional material. The hall is a working industrial space and visits by minors are arranged only for supervised educational purposes, with the consent of a parent or guardian.

Links to other sites

This website may link to a supplier, a standards body or another site that a visitor finds useful. Once a visitor follows such a link, they are on a site we do not control, and its privacy practices may differ from ours. We encourage a visitor to read the privacy notice of any site before sharing personal data with it.

We do not embed third party video players, social media widgets or advertising frames on this site. That choice keeps the page light and avoids the silent transfer of visitor data to a party the visitor did not choose. If we ever embed such a feature, we will describe it here first.

A link from this site is not an endorsement of the privacy practices of the destination. It is a pointer to information, and the responsibility for the destination remains with the destination.

Changes to this policy

We review this policy when our practices change. A change might follow a new service, a new supplier, a new legal requirement or a lesson learned from a security incident. When the policy changes, the effective date at the top of the page changes with it.

If a change is material, for example a new category of data or a new category of recipient, we will describe it in plain language at the top of the revised policy rather than burying it in the body. We will not apply a new use to data that was collected under an earlier version without first telling the people affected and, where necessary, asking for consent.

A visitor who wants to know what changed may ask us for a copy of the previous version. We keep earlier versions of this policy in the office and can supply the relevant one on request.

How to contact us

Questions about this policy, requests about personal data and reports of a possible breach should go to the office team. We read every message and we answer in plain language.
